5 Questions to Ask Before Hiring an Event Photographer for Your Brussels Conference

A conference or corporate event happens once. There is no reshoot if the photographer misses the keynote or the lighting setup fails halfway through. These five questions catch most of the problems before they become unfixable on the day.

1. What is your experience with events this size?

A photographer used to shooting 30-person workshops may struggle with the logistics of a 300-person conference across multiple rooms and a stage. Ask for examples of similarly sized events, not just any corporate work.

2. Will you bring a second shooter?

For anything beyond a half-day, single-room event, one photographer cannot reasonably cover a keynote stage, breakout sessions, and networking moments simultaneously. Confirm whether a second shooter is included or available as an add-on, and at what additional cost.

3. What is the realistic turnaround for edited images?

If a press release or social post needs to go out the same day or the next morning, confirm this is actually possible before booking, and what rush delivery costs on top of the standard rate. Standard turnaround for a full event typically runs one to two weeks.

4. What happens if key equipment fails mid-event?

A professional photographer should have backup camera bodies and lenses on hand. An event with no reshoot option cannot tolerate a single point of equipment failure derailing coverage.

5. What exactly are the usage rights on these photos?

Confirm whether images can be used in future marketing, shared with speakers or sponsors, or published externally, and for how long. This is the detail most commonly assumed rather than confirmed, and the one most likely to cause friction months later.

A photographer who answers all five clearly, without hedging, is demonstrating exactly the kind of preparedness an event with no second chances actually needs.
