What Should Our Company Decide Internally Before Booking a Corporate Photoshoot?

By Dmytro Derkach · Brussels-based commercial photographer

Decide three things before you call a photographer, not during the shoot.

Name one person with final approval on the image selection. Not a committee — one name. This single decision does more to keep a project on schedule than anything the photographer controls.

Separate that person from whoever signs the contract. They are often not the same — procurement or an office manager on one side, marketing or comms on the other. Both need to be clear before the booking is confirmed.

Decide who owns consent from the people being photographed. This is the one with legal weight under GDPR, and it sits with your company, not the photographer. Having a release form ready before the day — not scrambled together on site — is what makes this step painless.

  • One named decision-maker for image approval
  • One named signatory for the contract
  • A consent process ready before the shoot, not during it

Companies that answer these three questions in advance run a noticeably shorter, calmer shoot day.
